Active Staff

Full email access

Staff who have accepted their invitation and have full access to their company email account.

Pending Invitation

Awaiting acceptance

Staff who have been added but haven't yet accepted their invitation or set their password.

Archived

No billing cost

Former staff members whose accounts are preserved but no longer active. Free to maintain.

Adding Staff

Method 1: Add Individually

  1. Go to Staff
  2. Click "Add Staff"
  3. Enter First Name and Last Name
  4. Enter Personal Email (for password recovery)
  5. Company email auto-generates (e.g., john.doe@company.com)
  6. Click "Send Invitation"

Note: The personal email is used for account recovery only. Staff will receive their welcome email at this address.

Method 2: Bulk Import (CSV)

  1. Go to Staff
  2. Click "Import CSV"
  3. Download the template or prepare your own CSV
  4. Include columns: first_name, last_name, personal_email
  5. Upload and preview the data
  6. Confirm to send invitations

Tip: CSV import is perfect for onboarding many employees at once, like during seasonal hiring.

Staff Status Lifecycle

Pending

Invitation sent

Active

Full access

Archived

Preserved

From Pending to Active

Staff receive an email with a link to set their password. Once they log in and set a password, their status changes to Active automatically.

From Active to Archived

When a staff member leaves or goes on extended leave, archive their account. This stops billing and preserves their emails.

Archiving & Reactivating Staff

Cost Savings

Archived staff don't count toward your billable seat limit. Reactivate them anytime without losing data.

Archiving Staff

  1. Find the staff member in the Active tab
  2. Click "Archive" in the actions column
  3. Confirm the action

The staff member will be moved to the Archived tab. They can no longer access their email, but their data is preserved.

Reactivating Staff

  1. Go to the Archived tab
  2. Find the staff member
  3. Click "Activate"

The staff member will be immediately activated and receive a new activation email to access their account.
